Privacy policy
What we collect, why, who sees it, and how to change or delete it.
Effective October 21, 2026. This policy covers this website, placement booking, enrollment and the Ovation Portal.
The short version
- We collect what we need to schedule, teach and bill lessons, and nothing more.
- We never sell your information or share it for other companies’ marketing.
- Children’s information comes from their parent or guardian.
- You can ask to see, correct or delete your information at any time.
What we collect
When you book or contact us: your name, email, phone, the student’s name and age, preferred times, and anything you choose to tell us about the student’s experience or needs.
When you enroll: address, student date of birth, school and grade (optional), emergency or second-guardian contacts, photo and video choices, your agreement to our policies, and your payment plan.
In the Ovation Portal: schedules, attendance, lesson notes, practice videos and messages, invoices and payment history.
Payments: card and bank details are entered with Stripe and stored by Stripe. Ovation never sees or stores full card or account numbers.
On this website: basic technical data (browser, device, pages visited). Your browser also remembers your light or dark setting and which ad or link brought you here; that note stays in your browser and is sent to us only with a form you submit. Our fonts are served from our own site, not from Google. If analytics or ad tags are switched on, Google Analytics and the Meta and TikTok pixels set cookies to tell us which ads and posts bring families to us.
When you apply for a job: what you write in the application and your résumé.
How we use it
- To schedule placement sessions, classes and lessons, and send confirmations and reminders
- To teach: lesson notes, practice-video replies, book checks and progress
- To bill and collect tuition, and keep accurate records
- To keep students safe and contact families in an emergency
- To improve our programs and learn which marketing works (in aggregate)
- To meet legal, tax and accounting duties
Job applicants
When you apply to teach or work at Ovation, only the director and the staff hiring for that role see your application and résumé. If you’re not hired, we delete both within 12 months of your application. If you are, they become part of your staff file. You can ask us to delete your application sooner at any time.
Text messages
We text you only if you opt in. We use your number to send lesson reminders, schedule changes and account messages, up to 8 messages a month. Message and data rates may apply. Reply STOP to opt out or HELP for help. We do not sell or share your mobile number or text-message consent with any third party or affiliate for their marketing.
Children’s privacy
Most Ovation students are children. A parent or guardian books and enrolls every student under 18 and provides the student’s information. We don’t knowingly collect personal information directly from children under 13; if we learn we have, we delete it. Practice videos of students are private to Ovation teachers and staff, and are never posted without a parent’s written permission. Parents can review or delete their child’s information at any time.
How long we keep it
Booking requests that don’t lead to enrollment: about 12 months. Student and billing records: while the student is enrolled and up to 7 years after, for tax and accounting. Practice videos: through the student’s current stage, then deleted unless you ask us to keep them. You can ask us to delete information sooner, unless the law requires us to keep it.
Security
Your information sits in secure, access-controlled systems (Teachworks, Stripe, Google Workspace). Only staff who need it can see it, and teachers see their own students. This website is served only over encrypted connections (HTTPS), blocks content from unknown sources, and keeps the staff area behind staff sign-in, with limits on repeated attempts and automatic sign-out after inactivity. No system is perfectly secure; if a breach affects you, we’ll tell you as the law requires. To report a security problem, email hello@ovationmusicco.com.
Your choices
- See, correct or delete your information: email hello@ovationmusicco.com
- Stop texts: reply STOP. Stop marketing emails: use the unsubscribe link (lesson and billing emails continue while you’re enrolled)
- Block cookies in your browser settings; the site works the same without them
- Change photo and video permission at any time in writing
We answer requests within 30 days.
Changes to this policy
If we change this policy, we update the date at the top and, for important changes, tell enrolled families by email.
